Reporting to the Protocol and Events Officer, under the general supervision of the Deputy Management Consular Officer, the Protocol and Events Coordinator is a senior administrative support position providing services related to visits, events, logistics and protocol for all programs within Canada's missions in Brussels. This includes clerical and administrative duties, coordinating official events and receptions, providing protocol and logistical support for official visits from Canada (accommodation, transportation, airport arrival and departure, hospitality, communications with local authorities, emergency handling and others, as required), and provide the protocol and administrative support required for Canadian based staff on posting in Belgium.

Profiel

Essential qualifications

Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.

Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications.

  • Language will be assessed further during the process.

Education:

Candidates will be required to provide proof of the completion of their education.

  • University degree from a recognized university OR an equivalency of a combination of education and relevant professional experience of at least three (3) years in an administrative role within an office environment and in the field related to the position.*
  • The areas of administration, events, hospitality and protocol are disciplines related to the position.

Language:

  • Ability to communicate effectively* in both official languages of Canada : French and English (spoken, written and comprehension).

  • With regard to this position, is considered to be « communicating effectively », the equivalent of level C1 in both official languages of Canada, according to the Common European Framework of Reference for Languages (the CEFR Levels (coe.int).

Experience:
  • Minimum of three (3) years of recent* professional experience in an administrative role with the main task of coordinating logistics, events or official visits.
  • Experience in client service.
  • Experience in liaison work with external partners.
  • Is considered a recent professional experience an experience acquired during the last 7 years.

Rated Requirements

The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.

Knowledge:

  • Knowledge of administrative best practices, including information management, administrative support, financial tracking and project management.
  • Operational knowledge of the standard Microsoft Office suite (Word, Excel, Outlook) and Internet research strategies.

Competencies:
  • Focus on client service.
  • Collaboration, including networking and the ability to work in a team.
  • Effective interactive communication (oral and written).
  • Adaptability and flexibility.

Abilities:
  • Planning and organisation.
  • Judgment and integrity.

Asset Qualifications:

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

  • Professional experience of a minimum of 6 months in a Canadian or other diplomatic mission, a government or an international organisation.
  • Experience in the use of audio-visual equipment in a professional environment.
  • Knowledge of Dutch.
  • Knowledge of the SAP financial system.
