About this role
Role Aim/Purpose:
The ETF and Index Investments APAC administrative assistant will support members of the EII leadership team. They will be responsible for calendar management, supporting office operations, and coordination of events and team activities.
Key Responsibilities:
Calendar management and administration for senior leaders, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes
Organize and handle logistics for internal/external meetings, team events, conferences, including conference room bookings, audio/video set up, catering, and other essential services
Coordinate travel arrangements and submit expense reports in a timely manner in our corporate system Concur
Raise application requests and coordinate resolution of technology issues for senior leaders
Anticipate necessary background material ensuring the leadership team members have everything they need in advance of their meetings
Partner with the leadership team and other internal teams on the planning and coordination of EII APAC Leadership Team offsites, fully understanding of what the requirements are, providing suggestions, and ensuring smooth execution. This includes, but is not limited to, room/venue bookings, transportation, food/catering arrangements, office and seating arrangements.
Support the Sales team in coordinating for and distributing client gifts, where needed
Support in the coordination and logistics of EII events and large group meetings
Manage tasks proactively and efficiently to ensure seamless coverage for all supported staff
Build and maintain good business relationships with executives and administrative staff across EII APAC and the broader organisation
Complete ad hoc administrative requests in a timely and thorough manner
Provide reciprocal coverage to other assistants
Experience, Skills & Knowledge Required:
Ability to work independently and assume additional responsibilities as required in a fast-paced, matrix management environment
Absolute discretion and appropriate handling of highly sensitive and confidential information alongside demonstrating the highest standard of conduct, performance, and business ethics
Attention to detail, time management and organisational skills
Excellent verbal and written communication skills
Proficiency in Microsoft Outlook and strength in the broader MS suite
Enthusiastic, positive, and ‘can-do’ attitude
Strong initiative and a proactive approach, with high level of energy, self-motivation and determination to solve problems
Resourceful and able to navigate complexities of assigned tasks
